General Information

Those needing hotel rooms for the Southern Baptist Convention Annual Meeting in Nashville, Tennessee, June 21-22, 2005, must read the following instructions.

Opening and Closing Dates

October 1, 2004 is the opening date for reservations. Please do not submit your housing form until October 1 or after. All reservations must be received by the SBC Housing Bureau no later than Friday, May 13, 2005 to guarantee a room at the convention rate.

Acknowledgements/Special Requests

Acknowledgements will be sent after each reservation booking, modification and/or cancellation. Review acknowledgements carefully for accuracy. If you do not receive an acknowledgement within 14 days after any transaction, please all the NCVB Housing Bureau at 877-259-4716. You may check your reservation on-line at www.sbc.net as long as you included an email address with your initial reservation. You will not receive a confirmation from the hotel. Special requests cannot be guaranteed, however, hotels will do their best to honor all requests. Hotels will assign specific rooms and room types upon check-in, based on availability.

Group Housing

Reservation requests for 25 or more rooms should be made in writing to the SBC Housing Coordinator at the Executive Committee via email at lrichmond@sbc.net or at 901 Commerce Street, Nashville, TN 37203.

Disabled/Special Needs

Disabled persons or those with special needs who want assistance in reserving a room may call the SBC Housing Coordinator at the Executive Committee in Nashville, TN via email at lrichmond@sbc.net or at (615) 782-8612.

Changes/Cancellations

Cancellations made at anytime where a check deposit has been provided, will be assessed a $20 check processing fee. Cancellations made on or after May 13, 2005 will be assessed a $25 cancellation fee for each room cancelled. Cancellations made within 72 hours of arrival will forfeit the entire deposit. Changes and cancellations through June 8, 2005 must go through the NCVB Housing Bureau. Changes on or after June 9, 2005 must be made directly with your assigned hotel.
